B2B SAMPLE APPROVAL GUIDE

How to Approve a Custom Rhinestone Product Sample Before Bulk Production

Approve the exact product, artwork, rhinestone direction, accessories and packaging in a clear written record before bulk production.

A custom rhinestone sample should be approved against the exact written project specification—not against a general reference image or a buyer’s memory of an earlier discussion.

Confirm the physical product, artwork version, rhinestone colors, placement, accessories and packaging direction. Record what has been approved and identify anything still subject to confirmation.

Start with exact product identity

Confirm the product reference, documented model, shape, structure, surface finish and relevant size or capacity. Check the lid, handle, mirror frame, clasp or other functional parts and list included accessories. A similar product photograph is not evidence for the selected item.

Distinct structures include a handled 40oz rhinestone tumbler, a custom rhinestone hand mirror and a rhinestone makeup brush gift set.

Confirm one artwork version

Record the file or version reference, date, orientation, logo or pattern position, undecorated areas, wording and approved color direction. If the base product changes, placement should be reconfirmed.

Review rhinestone color, pattern and edges

Use the physical sample as the visual reference where possible. Inspect color direction, contrast, pattern alignment, spacing, edge treatment, visible gaps, missing stones and visible adhesive or residue.

Check logo placement and readability

Confirm logo size, orientation, distance from edges or moving parts, visibility during normal use and spelling. A flat artwork file may read differently on a curved or small product.

Test product function and accessories

Decoration should not obstruct use. Depending on the item, check lids, handles, mirror hinges, keychain hardware, compartments and stability. List each lid, straw, brush, chain, ring, pouch or insert explicitly.

Review packaging during sampling

Confirm individual protection, bag, box, insert, product orientation, label, barcode, printed artwork and outer-carton direction as applicable. Options depend on the selected product and project requirements.

Reconfirm before bulk production

Reconfirm the exact product, artwork version, quantity and variation split, accessories, packaging direction, post-sample changes and evidence expected before shipment. Approval is not permission for undocumented substitutions.

FAQ

Is a reference image the same as an approved sample?

No. A reference communicates direction. An approved physical sample represents an agreed product and visible configuration.

Can only the logo be approved?

Logo approval should be tied to the exact base product, placement and artwork version.

Should packaging be approved separately?

It may be reviewed with the product or through a separate packaging sample. State the scope clearly.

What if artwork changes after approval?

Reconfirm the revised artwork and affected details before bulk production.

Does approval cover future orders?

The sample is the reference for the defined project. Future orders should reconfirm applicable details.
